CheckLog holds progress photographs, body weights and dates of birth. That is sensitive information about real people, most of whom never signed up for CheckLog themselves — they were invited by their coach. This page says plainly what is stored, who can reach it, and how to have it removed.
Who is responsible for what
There are two relationships here and they work differently.
If you are a coach, CheckLog is responsible for your own account information — your name, email address, business name and billing details. We decide how that is handled.
If you are a client, your coach decides what is collected about you and why. CheckLog stores and processes it on their instructions. Your coach is your first point of contact for anything about your data; we will help them act on it.
What is stored
For coaches
- Name, email address, and optionally a business name
- Your unit preference and timezone
- The waiver or terms text you ask your clients to acknowledge
- Your subscription tier and, if you pay, a customer reference from Stripe. Card details are handled entirely by Stripe and never reach CheckLog
- Private notes you write about your clients' check-ins
For clients
- Name and email address, entered by your coach when inviting you
- Height, date of birth and starting weight, entered by you when you set up your profile
- Your weight, written notes and activity summary from each check-in
- Front and back progress photographs that you choose to upload
- The date and time you acknowledged your coach's waiver, and a copy of the wording as it read at that moment
- Your unit preference and timezone
CheckLog collects nothing beyond what the product needs to work. There is no analytics script, no advertising, no tracking cookie, and no third-party pixel anywhere on the site. The only cookie set is the one that keeps you signed in.
We do not sell personal information, do not share it for advertising, and do not use anyone's data — least of all their photographs — to train machine-learning models. We have never done any of these things and will not start without telling coaches first.
Who can see it
- Your coach can see everything you submit to them
- You can see everything about yourself, except your coach's private notes
- Other coaches and other clients cannot see any of it. This is enforced by the database itself, not only by the app
- CheckLog staff can technically reach stored data, and do so only where necessary to operate the service or to respond to a support request
Progress photographs are held in private storage with no public address. They are shown through temporary links that expire within an hour. A link copied from the page stops working the same day.
Where it is stored, and who else is involved
CheckLog relies on a small number of companies to operate. Each of them processes data only to provide their part of the service.
| Company | What they do |
|---|---|
| Supabase | Database, sign-in, and photograph storage |
| Vercel | Runs and serves the website |
| Resend | Sends invitation and reminder emails |
| Stripe | Handles coach subscription payments |
Data is stored on servers in the United States. CheckLog is operated from St. Paul, Minnesota and intended for use in the United States. It is not offered to people in the United Kingdom or the European Economic Area, and coaches should not invite clients who live there.
How long it is kept
- Check-ins and photographs are kept for as long as your coach's account is open, because the record over time is the point of the product
- When a coach deletes a client, that client's record and every photograph are erased immediately, including from storage
- When a coach closes their account, every client under it is erased, along with their photographs and their sign-in
- Archiving a client is not deletion. It stops reminders and keeps the history
Deletion is immediate and cannot be undone. Backups held by our infrastructure providers may retain copies for a short period before they age out.
Your rights
Wherever you live, CheckLog will show you what it holds about you, correct it, or delete it — you do not need to live in a state with a privacy law to ask. Residents of states that do have one, including Minnesota and California, have these rights by statute.
Clients: ask your coach. They can delete your record and everything in it from their CheckLog account at any time, and it takes them under a minute. If you cannot reach them, contact us at the address below and we will act.
Coaches: you can close your account and erase everything under it from your settings page. If you would rather have a copy of your data first, ask us and we will provide it.
Children
CheckLog is not intended for anyone under 18, and we do not knowingly collect information from anyone under 13. Coaches should not invite a client under 18 without the consent of a parent or guardian. If you believe a child's information is in CheckLog, email us and we will delete it.
Security
Sign-in uses one-time links rather than passwords, so there is no password to be reused or leaked. All traffic is encrypted. Access to each coach's data is enforced at the database level, which means a mistake in the application cannot expose one coach's clients to another.
No system is perfect. If we discover a breach affecting personal information we will notify affected coaches, and the relevant authority, without undue delay.
Changes
If this page changes in a way that materially affects you, we will email coaches before it takes effect. The date at the top always reflects the current version.
